Like you, our client was in such a bind. And as a group clinic with 15 branches of clinics across Selangor, CaringClinic (name changed for privacy reasons) realised they needed help. They needed something to help them manage their clinics easily, keep tabs on how their patients were doing, and increase revenue.

When CaringClinic first engaged Klinify's services in 2018, they had some real concerns. How will Klinify work with their existing data? Is Klinify going to be another data management tool that looks good on paper but tedious to upkeep or make use of? How will my patients be impacted?

Back then, CaringClinic managed their clinic data on old system. But there were limitations as to what the previous system could do. What's more, the data was disorganized and entries were inconsistent. Most of the information that CaringClinic needed was there but not usable for anything meaningful. Processing each entry manually would take a Herculean effort.

We wanted to help CaringClinic overcome their struggles with their data so that they could focus on what the team loved the most: dedicating care to their patients. 

With Klinify’s Master Drug List (MDL) feature, we accurately cleaned up and standardised scores of medical records. Now, CaringClinic was ready to see the value that their data would bring them.

The first problem that we uncovered for CaringClinic: patients with chronic diseases were not coming back to see the doctor and to restock their medication as they should. 

Every doctor knows that patients with chronic conditions should return for a follow-up visit every 3 months in general. But many were not. This meant that many with diabetes, hypertension, and heart disease were not getting the ideal follow-up care they needed. 

This also meant forgone revenue for CaringClinic. 

Let us illustrate. In a typical month, CaringClinic generates close to RM 20,000/month from the sale of drugs that treat heart disease. However, this suddenly dropped to just nearly RM2,000/month on average in the last three months of 2019. This meant an alarming decline of 90% in CaringClinic’s sales revenue!

We investigated the data further and could pinpoint that the decline in sales was due to a drop in dispensation of the following drugs: Rosuvastatin, Atorvastatin, Perindopril, Bisoprolol, Valsartan and Chlorothiazide. Patients were not coming back to restock their medication, resulting in tremendous opportunity being missed by CaringClinic.

From the data, we could tell that existing patients were not returning for their much needed care and medication to manage their chronic conditions.

A ratio greater than 1 -- or all points above the bold horizontal line in blue -- indicates that the clinic has more “good” patients than “bad” patients.

For example, in July 2018 and Jan 2019, you'll see that there were 4 “good” patients to every “bad” patient.

From April 2019, this ratio was smaller than 1, indicating that the clinic had more “bad” patients who had not returned in the past year compared to “good” patients who had done so.

 
 

The patient return rate in CaringClinic had taken a hit, with fewer returning patients resulting in lost revenue.

With Patient Analytics, we were able to identify that there were 2302 patients with chronic illnesses who had not returned to CaringClinic within the past 3 months.


We were now aware that patients were not returning to CaringClinic. But how can we identify these patients and encourage them to return for their follow-ups?

The power of sending reminders to the right patients at the right time

 
 
 
 

There is an old adage that says it costs five times less to keep an existing customer than to attract new ones. 

We also knew from existing studies that sending out reminders to patients increased the chances of them returning to a clinic by 10%.

The next thing we set out to do was to get something going for CaringClinic in a way that was efficient and pain-free (because nobody likes pain, right?) to help their patients as well as their bottom line.

Behind the scenes -- and because we love data -- we conducted A/B testing on these messages to evaluate which were the most effective in persuading patients to return for a follow-up consultation.

 

Sending out SMS reminders may seem like a no-brainer. But medical practices are busy and few actually have the bandwidth to do so. It takes effort to track who needs to be reminded and then to customise and send out these messages.

We enabled CaringClinic to personalise, automate and send reminders to their patients through Klinfy’s Patient Campaigns. CaringClinic could choose who, what, when and how often these messages were sent. 

All CaringClinic needed to do was to click a button to activate the feature. We did the rest.

Another happy result was that we boosted CaringClinic’s revenue by RM 60,653 over 3 months -- simply by having 373 patients come back for follow-up consultations and to restock their medication after receiving SMS reminders from our Patient Campaigns feature.
